How to download the complete W-2 program file.

Note: This program file has been updated with the necessary changes for tax year 2007.

Before you download and save the W-2 program file you should create a new folder on your system that will be used to save this file.  This folder should be accessible to your payroll system.  A good place may be to create a new folder under the OSAS program folder.  Your program folder location may be OSAS6, OSAS65, OSAS7, or similar name.  Maybe call this folder W2UPDATE.  Once you have created this new folder in the desired location, you are ready to download the program file.

When you click on the link below, a window will appear prompting you for a user name and a password.  Enter the name and password that has been provided to you.  Names and passwords are case sensitive.  In testing I have found that after I enter my password, the system sometimes comes back with a message that the file is unavailable.  If you get the file unavailable message, just try it again.  It should work.  If after several tries you can't get in, email us or give us a call. 

After you validate your password, you will get a File Download window on the screen.  There should be a bullet next to Save this program to disk or a selection of buttons to run or save this file.  You do NOT want to run this program, you want to SAVE it.  Go ahead and click <OK> or click the <SAVE> button to save the file.  You must change the Save In Location to be the new empty folder you created above.  Keep the file name  XW22007.

The new program file you saved is a self-extracting zip archive file.  The program update file contains several files all compressed into one.  Having a compressed file speeds-up the download, and makes it easier than having to download over a dozen individual files.  It also contains a couple of subdirectories for those files.

You must follow the instructions below to expand this file.  It contains subdirectories that will not be created properly if you use standard unzip procedures.  To expand the archive file, you must do the following:

bulletSelect the Windows Start menu by clicking on Start on your task bar (usually found in the lower left).
bulletSelect Run ...
bulletFor the Open line, click the <Browse> button and navigate to the folder where you saved the program file.  Double-click on the XW22007.EXE program file, this should place the program path and name in the Open box.  We need to add a parameter to the end of the .exe program name.  Select the Open box and use the <Right-Arrow> to move to the end of the XW22007.exe.  You should add a <space> then a -D to the end of the command.  Your Open box should contain something like:  O:\OSAS7\W2UPDATE\XW22007.EXE  -D    It is very important that you use the filename, a space, a dash, and the letter D (as in Dog).  The D option tells the program to include the subdirectories as it expands the archive.  When you have the command modified as above, click the OK button.  A MSDOS window will open showing the expanding files.  When it is Finished, you may close the window.
bulletThe W2 program can now be installed with Open Systems Resource Manager.  Continue to the next step.

How to install the program in OSAS.

You only need to install the program in one company.  Program installations automatically effect ALL companies.  It doesn't matter which company you are in when you do it, but only do it once.

Go into Open Systems, Resource Manager, System Setup, Directories.  Make sure that the Install directory at the top has the full path to the directory where you saved the program.  Change the directory, and be sure to Write your change.  NOTE: If you have a version of OSAS prior to version 7, then you will not find System Setup on the Resource Manager menu.  Instead, you should go to the System File Maintenance menu, Directories.  There you will find the place for the install directory and can make the necessary change.

From your OSAS main menu, once again go to Resource Manager, and choose Installation > Install Applications.  In version 7, you should select ALL applications, and <PgDn> to accept YES to installing all components.  You can then select DONE, and the program will be installed.  For OSAS versions prior to v7 the installation program will prompt you with a few Re-install questions.  The answers should already be all set to YES.  At this point <PgDn> to proceed with the update.

The system will install the new program files.  If you are prompted with: Install Another Application?  Accept N by pressing the <enter> key, and the system will proceed with the final steps of installation.  In the final steps, the system will expand more files from the installation disk and merge some files into your payroll system files.  When the install is complete, the main menu will appear.

If you get an error during the installation, the most likely cause is that you did not use the correct RUN command when you expanded the file.  Go back and try to expand the file again, saying Yes to overwriting any existing files.

Follow the documentation and enjoy the new improved system.  If the W-2 menu does not match with the new documentation, then you did not successfully install the update.  Try it again or give us a call.

What's New In this Version

The alignment of the printed forms has been changed to match government changes.  The employee social security number now prints near the top of the form instead of in the middle.
